Main Duties and Responsibilities

As a Production Administration Assistant, your main responsibilities and duties will include:

  • Compile and manage the company’s accident / near miss records and investigations, to produce data capture and analysis, in accordance with company procedures and Health & Safety requirements.
  • Administration of the Green Cross Process, updating screens daily for H&S reporting in support of the Production Support Manager.
  • Recording Safety Observations.
  • Production of Safety Pyramid, monthly.
  • Assist in the production of the EHS Governance Meeting packs and resulting minutes and actions.
  • Coordinate safety related actions and work with owner to complete on time.
  • Own and co-ordinate the safety Risk Assessment matrix and schedule – ensuring all Risk Assessments are completed on time and have documented sign off from all staff working in
    these relevant areas.
  • Own and co-ordinate the COSHH schedule of documentation and procedures.
  • Support other operational health and safety administrative work.
  • Provide support and guidance in updates related to safety documentation.
  • Publish and post Operations daily KPI metrics and updates as required.
  • Assistance with CI initiatives within the department, e.g. safety actions from Drive to Excellence.
  • Other duties assigned by the Production Management Team.

When required, support other product support activity such as:

  • Provide general administration support to the Production Management Team, including PPE, stationery orders, fire registers, work wear, etc.
  • Assist with statistical information for management reporting.
  • Process requests to Procurement for the ordering of consumables, etc. as required by Production Management.
  • Administrative tasks including:
    • Production of factory temperature graphs, weekly.
    • Production of minutes: Production H&S Meeting and Manufacturing Review, both monthly.
    • Production of communication sheets in relation to accidents and near misses, general H&S, NCRs, CNs, complaints, etc.
    • Scanning hard-copy training to U drive.
    • Scanning door safety checks.

Other Duties:

Adherence to the Company’s Health and Safety policy at all times and operate and promote the development of quality standards and procedures taking ownership of tasks and to seek new improved ways of doing things.

A degree of flexibility is required, and the job holder may be required to perform work not specifically referred to above and which will be appropriate to the level of the role. All duties must be carried out in compliance with company Quality System, Health and Safety Policies and regulations set out in the Medical Device Directive.
